Summary - New Workflow, New Field

A new workflow has been added to TDX – Approval Required.

This short workflow has a single step – send an approval request to the person in the new field ‘WFApprover’ (located under the ‘Responsible’ field in the Incident, Major Incident, and Request forms).

This field is not mandatory, so we only need to populate it when we’re going to request an approval within TDX. Only people in TDX can be selected.

 

Utilize Approval Required Workflow

To assign the Approval Required workflow to a ticket:

  • Open the ticket
  • Ensure the ‘WFApprover’ field is filled in with the correct approver
    • If it is not, select Edit, update the field, and Save the changes
  • Select Update
  • Select Assign Workflow, then ‘Approval Required’ from the list of workflows, then Save

Assign New Approver

Additionally, we can update the person in the WFApprover field and reassign the Approval Required workflow to initiate a new approval request.

The results of the each workflow are kept in the Feed (comments at the bottom of the ticket), so this workflow could be utilized multiple times on the same ticket to secure and record a record of multiple approvals.

A ticket may only have one active workflow assigned at a time – if we update the WFApprover field and reassign the workflow, the previous approver will no longer have an approval pending.

Use case:

This can be useful if we initially assign the approval to Howard, later learning that he is out of the office. We can reassign to Charles and then reassign the workflow to initiate an new approval request to Charles.
